Job Title: Language Center Operations Assistant
Department: Language Center Montclair
Reports To: Language Director

The FIAF Language Center is the largest language school dedicated to teaching the French language in the tri-state area. With more than 8,000 registrations annually, we offer French in two convenient locations: Manhattan’s Upper East Side and Montclair, NJ.

Position Summary: The Language Center Operations Assistant will be on the frontlines of customer service for the FIAF Language Center. S/he will be knowledgeable in all Language Center activities (group classes, private lessons, corporate lessons, exams, camps) and be able to confidently reply to any customer or potential client. S/he will look for patterns in these interactions in order to help improve communication with students as well as the Language Center’s own operations. The hours for this position are Tuesday-Friday 8:15am-4:15pm or 1pm-8pm, Saturday 8:45am-4:45pm at our Montclair, NJ location. There is a possibility to work full-time or part-time.

Responsibilities:

  • Greet and welcome clients and students, answer all questions they may have.
  • Answer questions by phone and email promptly.
  • Register students in group classes, private lessons, or exams in person or by phone.
  • Keep students informed of any changes, such as class cancellations or room changes.
  • Perform administrative tasks such as preparing class rosters, certificates of completion for students, etc.
  • Assist Language Center colleagues as needed.
  • Maintain a neat and welcoming reception area.

Job Title: Summer Camp Counselor (Seasonal)

Position Summary: Each summer the FIAF Language Center in Montclair also offers summer camps in French for children and teenagers aged 3 to 17. For more information, please consult our website here.

Under the supervision of the Language Center Director, the Summer Camp Counselor is responsible for the smooth running of the camps and the supervision of campers, teachers and volunteers. They participate actively in all camp activities, promoting a safe and pleasant environment, and serving as a positive role model for all campers and the team of teachers and volunteers.

From June 25 to August 20, 2022.

The hours for this position are Monday-Thursday 8:00am-5:00pm, OR Tuesday-Friday 8:00am-5:00pm, and Saturday 8:30am-12:30pm at our Montclair location. There is a possibility to work fulltime or part-time.

Responsibilities:

  • Supervise the arrival and departure of campers
  • Supervise the two groups of campers and ensure that they have an enjoyable, creative and rewarding experience
  • Oversee the organization, supervision and logistics of all activities
  • Coordinate daily schedules for the two groups of campers
  • Communicate clearly with teachers about possible changes of schedules
  • Keep students informed of any changes, such as class cancellations or room changes.

Position Summary:
FIAF is looking for a seasoned Director of Operations to oversee the daily operations of our institution. You will be ensuring a fluid coordination between departments for all operations matters, will be devising and implementing processes to facilitate project and event coordination as well as training members of your team. FIAF is a complex organization made of departments that operate differently, in their own section of the building for the Language Center but also in shared event spaces. Job Title: Sales & Events Manager

Position Summary:
Under the supervision of the Director of Operations, the Sales and Events Manager is responsible for the oversight, management, development, implementation, and coordination of FIAF events and rentals to support the mission and goals of the organization. The Sales and Events Manager must be able to work well in a team environment as well as with a range of people and personalities. Successful candidates will be expected to demonstrate success in an event function. This is a full-time position, which is based at FIAF.

Marketing and Sales:

      • Market and sell the venues & catering packages to corporations, PR firms, event management companies and organizations that hold events
      • Find new clients and generate new revenue streams (from new as well as existing clients)
      • Identify appropriate networking places to list, promote, and advertise FIAF’s venues
      • Coordinate with other FIAF Departments, including External Affairs, Membership and Marketing to promote venues with FIAF’s constituencies
      • Assist the Events Coordinator with new inquiries and managing events’ logistics
      • Work to advance the image of events at FIAF by being the primary contact of clients for the implementation of their event

Budgeting & Financing:

      • Build, manage and monitor the Rental Department’s budget and forecasts
      • Control and monitor all expenses
      • Generate all income reports & rental client lists
      • Keep accurate records of all rental activities & history
      • Keep track and ensure timely payment of all deposits and settlements
      • Gather information from Technical Team, Events Coordinator, and Box Office Manager regarding additional expenditures and work with accounting to ensure that all additional expenditures are charged back to the client

Calendar Management:

      • Maintain master schedules for all FIAF & rental events in Artifax
      • Work closely with FIAF departments to locate available dates for their events & resolve conflicts
      • Counsel clients on best available dates for their events

Event Management (Rental Department & FIAF’s events):

      • Manage all aspects of multi-scale events for clients & for FIAF events from inception to completion (except staffing & payroll)
      • Work closely with other team members to ensure that set up of facilities are in accordance with client needs for all events including rehearsals, performances, meetings and receptions (tech, staffing & building requirements)
      • Welcome clients upon arrival for rehearsals and/or events
      • Follow up with clients after each event to discuss feedback on event and to give clients the opportunity to book future events

Job Title: Associate Production Manager
Department: Events Management
Reports to: Production Manager
Designation: Non-exempt full-time salary with benefits

Position Summary:

The Associate Production Manager is responsible for duties that directly support the production of performances and events at FIAF. This position assists the Production Manager with overseeing the planning and execution of performances and events. Simple in-house production may be handled solely by the Associate Production Manager. The Associate Production Manager works closely with many internal and external partners and helps to manage multiple projects concurrently with great attention to detail. The ability to manage a crew and work with performers or clients in a calm and professional manner during stressful situations is crucial. The ability to be a team player and a strong leader simultaneously is essential. Must be able to work some nights and weekends depending on the production schedule.

Responsibilities & Duties (include but are not limited to):

      • Supervision of load-in/run-of-show/load-out while maintaining a safe working environment.
      • Coordinates with lead crew members to facilitate maintenance of in-house equipment including minor repairs or sending equipment out for repair.
      • Serves as Production Manager when the Production manager is off-site.
      • Willingness to learn about the lighting, sound, and projection systems in order to help troubleshoot. Experience with these systems is preferred but not required.
      • Assists with the purchasing of small items needed by the department such as batteries, light bulbs, hardware, etc.
      • Creates and maintain an inventory of FIAF’s technical equipment
      • Helps to keep the venues and backstage areas organized and tidy.
      • Assists with technical crew scheduling and maintaining the crew calendar.

      • Associate degree required; bachelor’s preferred
      • A minimum of 2 years of Production Management required, Stage Management experience a plus but not required.

This position requires the candidate to be available between 7:30am and 9pm on weekdays, from 9am to 4pm on Saturdays.
